Job Responsibilities and Requirements: Job Responsibilities: 1. (Project Management Focus)- Manages the implementation and support of Business and Administrative Systems projects using standard project management methodologies across all components of the project management lifecycle. Ensures that all project tasks are assigned appropriately to all team members. Has overall responsibility for status reporting, requirements gathering, scoping, vendor research, project planning, project documentation, resource planning, impact analysis, and project budgeting. 2. (Portfolio Management Focus)- Manages a large portfolio of projects throughout the project lifecycle and within scope, schedule, and budget. Works collaboratively with all team members to assign tasks, provide oversight and provide second level support. Proactively evaluates all new releases and functionality of applications in project portfolio on a quarterly basis at minimum. 3. (Analytics) Synthesizes process and requirements analysis including process mapping through flowcharts, documenting current and future states, requirements elicitation, stakeholder analysis, and specification gathering on complex projects. In addition, synthesizes data to complete gap analysis and provide associated recommendations. 4. (Change Management) Provides recommendations for user adoption and transition strategies. Implements and evaluates change management strategies. Provides oversight to all team members to deliver on identified strategies. 5. (Subject Matter Expertise) Able to manage a team with an expert level of applications/systems understanding, and applies expertise to meet customer goals and outcomes. Demonstrates a combination of high level and advanced level expertise of business and administrative systems to help guide EIS team and business stakeholders on their utilization. 6. (Operational Expertise) Applies comprehensive understanding of business operations, processes and workflows with the ability to accurately document, discuss and identify dependencies with project team members and stake holders. Synthesizes operations and project interdependencies and applies recommendations. 7. (Technical Capabilities) Proactively promotes and adheres to EIS standards/protocols (e.g. change control process, incident management, support documentation). Demonstrates expert understanding of all aspects of IT, including systems, applications, operations, and support. 8. (Vendor Management) Serves as the primary point of contact for vendor support assistance during the project lifecycle as well as in resolving issues with vendor. Performs annual evaluation of support contract and service level agreement. Ensures that vendors are adhering to the terms of the contract. Manages relationship and works with external vendors. 9. (Executive Communication) Provides clear and organized project status reporting to all stakeholders. Coordinates team members to gather information and prepare organized, consistent and accurate status reporting. Escalates issues appropriately through the chain of command. 10. (Strategy Setting) Leads strategic discussions by proactively identifying options with the associated pros and cons with EIS team members and others. Participate in the development and documentation of EIS Strategies and Plans as a member of the EIS Management Team. Provides management with translation of the strategic plan to the tactical/functional plan. 11. (Recruiting) Participates in new employee interviews and the on boarding process as needed. Actively contributes improvements to the on-boarding processes to retain new employees. Develops evaluation criteria of junior team members. Works closely with HR on the recruitment process. 12. (Staff Development) Takes the initiative to continuously self-development and seek opportunities to advance within enterprise information systems. Demonstrates a good understanding of career path and training goals. Assigned to lead and mentor other staff. Establishes the career paths of other staff, coaches and develops staff and ensures career path is utilized. 13. (Budgeting) Creates and maintains all Business and Administrative Systems project portfolio budgets. Proactively escalates budget issues to management. Assist with annual capital and operational budgeting process. 14. (Collaboration) Drive collaboration among EIS and business customers to ensure cross-functional communication in support of business needs. Build and manage effective internal and external partnerships to ensure clarity and consistent commitment to the delivery of business systems solutions. Collaborate with business units to support the development and review of business plans and their capital budget. Assist business owners in the development and validation of their IT Business Continuity Plans. Meet regularly with business management and systems users to assess and review their satisfaction with EIS services and performance against SLA s; project priorities and status; Applications systems support; Applications and IT computing infrastructure; Systems access issues; and issues management and prioritization. 15. Other duties as assigned. Qualification Requirements/Preferences: Education Certifications/Licensure Experience Physical Abilities Educational requirements and/or preferences: Bachelor s degree in Business Information Systems, Business Management or relevant field of study, or equivalent combination of work experience and training is required. 5 years of increasing responsibility generally in the area to be managed (business and administrative applications/systems) with a mix of individual contribution, people leadership and project leadership. Understanding of healthcare industry service delivery processes, preferably in an Academic Medical Center. Knowledgeable of various programming languages including Java, JavaScript, SQL, C#, C . Experience with various software development and project management methodologies from requirements gathering through implementation. Experience leading and motivating staff required. Proven ability to create a productive environment that promotes initiative, innovation, continual learning and development of key personnel to reach their potential and goals with an eye toward succession planning and career advancement. Proven track record in team building, developing and motivating IT staff to meet challenges and achieve ambitious goals. Team player that collaborates well with staff, peers, superiors and partners. Demonstrated ability to develop creative solutions to complex problems required. Demonstrated business acumen with the ability to effectively communicate and work with other management in support of achieving business and technology goals. Strong communication skills - written and verbal required. Excellent organizational and skills required. Excellent relationship-building skills. Ability to effectively manage others through influence as well as with direct authority. Good negotiation and facilitation skills. An understanding of computer system capabilities to address process requirements required. Skilled in Microsoft Office products including MS Project, Visio and PowerPoint required. Experience managing multiple assignments simultaneously. Strong customer service orientation.
