Job Responsibilities and Requirements: The Boston office is seeking a Construction Administrator to: Set up new projects in NewForma including contacts, contract information, etc. Coordinate multiple projects in the construction phase. Attend construction kick off meeting. Monitor project schedules/deadlines - communicate information to team members. Receive and distribute all incoming and outgoing RFI s and/or submittals. Enter and track submittals, RFI's, etc. in NewForma. Distribute punch lists, memos, drawings. Coordinate with contractors and consultants regarding RFI/submittal deadlines.. Conduct Punch List with Architect on site at end of construction Phase. Prepare, maintain, and distribute all minutes. Prepare transmittals, letters, packages, etc. for project(s). Facilitate weekly meetings with Project Managers and give project updates on RFI/Submittal logs. Submittal review research. Ability to assist in pre-assessment of project. Manage project database - directories, minutes, sketches, correspondence, etc. Requirements 3-5 years experience in a support role in a construction environment. Familiarity with construction documents, terminology and processes/systems. Must be able to juggle support of multiple projects with their own priorities Must be dependable with a strong work ethic Self-directed with strong initiative and motivation Professional and cooperative; a strong team player Highly organized with strong multi-tasking ability Detail-oriented; resourceful Is able to meet deadlines and has high sense of urgency Excellent follow-thru Has positive, can-do attitude Familiarizes self with clients and key players for each project Must be an ambitious, self-reliant, and focused individual to perform a wide range of administrative functions that require problem solving skills under minimal direction Must be a team player and have the ability to handle sensitive information and maintain perspective under pressure. Excellent computer skills, with proficiency in Microsoft Office - Word, Outlook, Excel, and aptitude to learn company-specific software as well as client specific tracking software. Exceptional written and verbal communication skills, detailed oriented and organized. Demonstrated proficiency in planning, organizing, prioritizing and multi-tasking is required. Manage workflow efficiently, show initiative, good judgment, and have the ability to handle sensitive and confidential information.
