Job Responsibilities and Requirements: This individual must be capable of multi-tasking & appropriately handling confidential information. Additionally, this candidate must anticipate the needs of the executive and proactively take initiative to independently solve problems. Diplomatically represent the manager at all levels of the corporate hierarchy which includes interacting with various senior executive level internal clients across all lines of businesses as well as senior executives external to JPMC. This candidate must possess superior interpersonal and communication skills, both written and oral, and exceptional telephone etiquette. Ability to take initiative and strong business judgment are required. Performance Expectations: Self-starter, ability to work in a fast-paced environment and navigate flexibly through ambiguity Willing and able to learn the business, and fully understand how and why tasks satisfy business needs Analyze, understand data and information, and draw appropriate conclusions; demonstrate problem solving skills and thinks outside the box to find creative ways to assist the team Extremely organized and detail-oriented with strong commitment to accuracy Ability to multi-task and ensure multiple projects are completed on time Compliance - manage sensitive data policy requirements and required reporting for team Be available to peers to assist with overflow, special projects and day-to-day tasks Candidates must be flexible for overtime as needed by the business Responsibilities: Gatekeeper of all contact with the public, clients and staff coming through the executive s office Manage extensive and complex calendar for Senior Executive in a fast paced and dynamic environment; anticipate where problems might arise regarding calendar, meeting preparation, needs of executives' involved, requests for meetings and telephone calls; communicate potential and/or confirmed changes to involved parties immediately Schedule and coordinate demanding internal and external meetings and executive events, inform attendees of dates and time, reserve meeting space, ensure the appropriate equipment/materials are available, coordinate hospitality/catering services as needed; assist with various off-site meetings as requested; prioritize last-minute changes including logistics Screen incoming calls and determine the level of priority while using caution in dispensing information Respond and follow up on manager s behalf; anticipate manager and executives needs Arrange and maintain extensive travel plans and itineraries for both international and domestic travel and ensure accuracy and timely delivery Reconcile and complete expense reports in a timely manner Maintain relationships with internal resources and external vendors (e.g. catering, IT, production, car services, communication services etc.) Maintain a poised, approachable, and positive attitude under pressure with the flexibility to adapt to changing priorities in a deadline driven environment Extremely well organized with exceptional time-management skills Ability to work independently & handle constantly changing needs; Proactive & forward thinker Demonstrate the highest level of integrity, confidentiality and trustworthiness College degree a plus At least five years of administrative experience ideally supporting C-Suite Executives or Managing Director level Strong PC and Microsoft Suite skills (proficient knowledge of MS Outlook, Word, Excel, and PowerPoint) and internal applications (if an internal candidate) Superior oral and written communication skills Advanced ability to organize Tact and good judgment in confidential situations and proven experience interacting with senior management Effective interpersonal skills.
