Job Responsibilities and Requirements: Responsibilities: Oversee, organize, and maintain paper and electronic files relating to s trademark portfolio, including electronically saving all necessary documents and correspondence. Manage the trademark docket. Coordinate the execution of documents and agreements and distribution to relevant parties. Assist with the notarization and legalization of documents and agreements. Provide support for pending trademark proceedings and infringement matters around the globe, including gathering and maintaining evidence of use, reputation and other documentation. Generate and edit trademark status reports. Track equipment registration renewal timelines and support renewal process Develop and maintain metrics reporting portfolio for innovation registration program Coordinate Serengeti and related billing processes for regulatory invoices Calendar management and communications (phone coverage, email, etc.). Administrative responsibilities: Make travel arrangements and coordinate meeting logistics. Produce high quality presentations or other documents. Type letters and memos from dictation. Manage expense reconciliation and reporting for senior staff Minimum Qualifications: High School diploma or equivalent 5 years of administrative assistant/secretarial experience 1-3 years of experience in Trademark Law Proficient knowledge of MS Word, Excel, PowerPoint, Microsoft Outlook and the Internet. Preferred Qualifications: Associate Degree or Paralegal Certificate Experience in an in-house legal or law firm Experience with intellectual property docketing systems; experience with Foundation IP Experience with USPTO and foreign IP databases Knowledge of First-to-File or equivalent matter-management system Must have exemplary organizational skills, as well as an impeccable attention to detail due to demand for accuracy in legal setting Ability to handle a broad range of responsibilities through time management and establishing priorities Process oriented while being adaptable to change Resourcefulness, ability to anticipate needs, sound judgment, and tact to appropriately direct questions and requests from all levels within the organization including senior management including sensitive or confidential information Proactive with demonstrated initiative, ability to work independently, and internal drive to manage multiple tasks with competing deadlines in a fast paced environment Quick learner as to gain knowledge of organizational operations, procedures and staff Strong interpersonal skills that exhibit ability to be reliable, flexible, professional and approachable while being service oriented.
