Executive Assistant

Vancouver Washington Seeking an Executive Assistant to assist the President, Associate Director and the Management team in the day-to-day operations of the college. Will be the point of contact for outside vendors, facilities and building maintenance. Will be responsible for administrative duties such as the following: Purchase orders - logging, processing and maintaining records, credit applications. Purchasing - office supplies, copier supplies, paper goods (business cards, stationary, etc), name tags, name plates, awards. Establishing and maintaining new hire packets. Obtaining transcripts for new hires. Reporting and monitoring building/facilities issues, maintaining keys, garage door openers, and codes. Recording and maintaining minutes for meetings (as needed - i.e., Management meetings, and Advisory Council meetings). Events coordination - secure venues for annual luncheon, commencement, and advisory council meetings. Send out invitations, receive and track RSVP's, prepare menus (as needed), make follow up calls for attendance. Maintain supply of forms (as needed), create new forms as requested (such as digital and paper catalogs). Payroll - Collect timesheets, distribute paychecks, scan timesheets for corporate office, work with Corporate HR and Accounting on paycheck accuracy. Work closely with the Director of Education to prepare education reports, education forms, student evaluations, and to tabulate and report results of all surveys. Assist visiting Corporate management staff with various tasks. Responsible ordering and distributing books, uniforms and supplies for the students and classrooms. Administers entrance evaluations as needed. Protects the confidentiality of information learned by performing the duties of the position. Makes a positive contribution to customer satisfaction and constantly strives to improve service to the customer. Other duties as assigned. High school diploma or GED equivalent required. 3-5 years of Clerical and/or Administrative background required. Administrative 3 - 5 Full-time 2010-11-02
