Job Responsibilities and Requirements: Role Responsibility: Specific Duties and Essential Functions Maintain an accurate inventory log to mirror the inventory that is currently in stock at the location as well as the uniforms and equipment that is given to each officer. Hold accountable all employees who are issued uniforms and equipment for returning uniforms and equipment once employment with G4S has ended Communicate equipment, uniforms, and fixed assets that are deemed unusable or in need of repair to the Shared Services Specialist/Manager Budget and manage financial spread sheets that relate to tracking expenses and asset purchases Weekly Payroll Transmissions, generate reports, update and conduct Payroll briefing; update scheduling master template if applicable for office structure Maintain current listings of all vehicles assigned to an area office and generate a monthly status report for the General Manager and report anomalies immediately Establish and maintain vendor relations with outside equipment, maintenance and facilities and building management Order equipment and uniforms and maintain the necessary inventory to ensure operational efficiency and continuity Respond to requests from field personnel to exchange damaged or worn equipment Dispose of uniforms and equipment that is no longer serviceable Ensure all vehicle forms and maintenance forms are properly documented and maintained Maintain a list of all phones that are assigned to the area office Ensure that radios are functioning properly; repair and replace as needed Assist the General Manager and Operations Manager on special projects as required Ensure that weapons are managed, inventoried, shipped, issued, and retrieved from employees in accordance with company policies and procedures The Ideal Candidate: Education, Licenses and Certifications Required Must possess a high school diploma or equivalent Must possess one or more of the following: Associate s Degree in Finance, Accounting, Business, or related degree, or related degree combined with at least 1 year of office administration experience to include direct payroll/billing/invoicing experience High School diploma or equivalent combined with at least 2 years of office administration experience to include direct payroll/billing/invoicing experience Type and Length of Specific Experience Required Prior work experience in a fast paced administrative environment with competing priorities Work experience to include demonstration of: Proficiency in Microsoft Excel and Word and in automated payroll applications such as the PeopleSoft Human Resources Knowledge of and experience with time and attendance tracking Administration of inventory, maintenance, purchasing and control of fixed assets Excellent skills in mathematics, reading comprehension, and oral and written communication Working knowledge of the Fair Labor Standards Act (FLSA) and other employment related laws Ability to clearly read, compile and interpret business reports and use extrapolated data to track expenses and asset purchases Administration of established payroll reconciliation, supply management, and client/vendor/facility financial relationship goals Skills Required Proficient computer skills including Microsoft Office Effective oral and written communication skills Active listening skills Ability to assess and evaluate situations effectively Ability to identify critical issues quickly and accurately Attention to detail Other Must be at least 18 years old or the minimum age required by the state, if higher Must be a U. S. citizen or a foreign citizen authorized to legally work in the United States Must submit to a pre-employment drug test Must be able to provide, upon job offer, a DD214 discharge document with discharge status indicated, if prior military.
