Job Responsibilities and Requirements: Essential Functions Provide event support for development events, special events and museum programs. Work with internal clients, caterers, independent contractors, musicians, sponsors and others to assure all events are in compliance with University and Blanton Museum policies and are on brand with the museum's brand. Solicit bids from vendors, negotiate contracts and follow appropriate payment processes to ensure prompt payment for services. Communicate and coordinate with vendors on vendor guidelines, arrival, load-in and load-out times for all events. Participate in onsite event execution including working evening and weekend events throughout the year. Assist with data entry in ALTRU database including budget information and updating constituent records. Assist with coordinating contracts for facility rentals including monitoring to ensure all deadlines and contractual obligations are met including receipt and processing of payments. Establish and maintain effective working relationships with private facility users and representatives of other outside agencies. Communicate and coordinate with vendors on vendor guidelines, arrival, load-in and load-out times for all events. Document facility rental details to assist with communicating information to internal departments.Set up rooms as needed for events. Manage organizational calendar with updated information regarding facility rentals. Marginal/Incidental functions Other related functions as assigned. Required qualifications High school graduation or GED. Two years of experience in event operations, event coordination or venue management. Demonstrated professional and calm demeanor in high pressure situations. Excellent organizational skills and attention to detail. Demonstrated problem-solving and decision-making abilities. Equivalent combination of relevant education and experience may be substituted as appropriate. Preferred Qualifications Bachelor's degree in Business Administration, Communications, Marketing or similar discipline. More than two years of full time professional experience in event planning. University or art museum setting experience. Venue management experience. Experience in a broad range of event planning including but not limited to museum events, corporate functions, weddings, university departmental events, non profit events, etc or can demonstrate equivalent experience. Working conditions May work around standard office conditions Repetitive use of a keyboard at a workstation Use of manual dexterity This position is intended as a two year appointment with possibility for renewal. Requires work on weekends, nights and holidays. Hours may be long and physically strenuous. A criminal history background check will be required for finalist(s) under consideration for this position.
