Job Responsibilities and Requirements: DUTIES/RESPONSIBILITIES: Provide administrative support for the AVP Technology Services and the Technology Services (TS)/ IT Team. Coordinate administrative duties for the AVP and departmental employees and work with other Administrative Assistants. Executive Support: Telephone coverage, arrange executive meetings and travel, schedule and maintain executive itineraries and calendars, coordinate and maintain appointment schedules. Process expense reports. Prepare, proof-read, and distribute correspondence and reports. Ensure that timely action is taken on correspondence and telephone calls received by the AVP and the TS Team. Team Support: Process requests for office moves, user IDs, corporate travel cards, building access cards, computer and telecommunications equipment acquisitions, office supplies, office machines, conference room scheduling, catering, and organizing large team and vendor meetings. Interact with internal and external customers to resolve problems or handle requests for information. Work with other Administrative Assistants in a cohesive team setting. Assist with administrative tasks for running the department by performing routine tasks, simple analysis and reporting. BASIC QUALIFICATIONS: Four years prior executive administrative assistant experience required. Successful candidate must possess strong organizational and interpersonal skills. Must have the ability to work well independently and in a team. Excellent written and oral communication skills required. Must possess above average computer skills; i.e., experience with Microsoft Outlook electronic mail and calendar; Microsoft Word, Excel and PowerPoint presentation/graphics software applications. Strong grammar and editing skills are required. Must be able to handle confidential matters discreetly. Work effectively in a team environment with all levels of personnel, including senior management (internal and external). Must be able to prioritize and handle multiple tasks simultaneously. Must be detail-oriented. PREFERRED QUALIFICATIONS: Bachelor's degree or currently working towards a degree, or continued education. Candidates are required to successfully complete the Administrative Assistant assessment. If you have failed the assessment within the last six months, you will not be eligible for this position.
