Job Responsibilities and Requirements: The ideal candidate would have strong detail skills as well as solid time management abilities that allows them to effectively prioritize and complete multiple tasks throughout the day. This role will provide administrative support to the Critical Technologies Preconstruction team within our Madison, WI branch. The nature of this work would require the individual to be proficient in the use of a PC and Microsoft Office Suite (Access, Excel, Outlook, PowerPoint, and Word). We are looking for an individual who possesses an Associates degree along with 3-6 months of administrative experience or their high school diploma (or GED) along with at least 2 years of administrate experience. Basic knowledge of the electrical trade and/or construction is preferred. KEY RESPONSIBILITES RANGE: Assists project team on bid day under direction of preconstruction lead. Weekly update of Preconstruction Project Status Report (PSR). Keeps up-to-date on incoming bid information and disperses information accordingly. Maintaining a Change Order Log showing pending, approved, and disapproved status; and processing change orders. Assists in the creation and implementation of various preconstruction systems and processes. Updates SaleForce database with bid information. Coordinates the flow of documents between preconstruction managers, engineering, field construction team, or other department groups. Will receive job start-up notification and will manage bid information for storage in the database / Image now. Preparation of project files: including plotting AutoCAD, pdf drawings and specifications for distribution. Processing Requests for Information and distributing to customers for response; maintaining a Requests for Information log and distributing RFIs to appropriate personnel as directed. Assisting in managing, maintaining, and organizing Project files; distributing all correspondence as directed. Develop and maintain labor by day reports for project team members. Maintaining submittal logs; assisting with submittal preparation; distributing submittals to the customer for approval and distributing approved submittals/drawings to appropriate field employees.
