Job Responsibilities and Requirements: The Project Coordination team is responsible for establishing and managing project timelines for all studio design jobs. This role is important in establishing and meeting client expectations by delivering high quality projects on time. Specific duties of this role include the following: Oversees a smaller team of Project Coordinators, including management of all day-to-day operations Ensures team workload is properly balanced Partners with Project Coordination Lead to ensure overall IHA workload is properly balanced Reviews unresolved issues and questions on a daily basis, and serves as first step in escalation process for persistent problems Maintains close, daily interactions with Studio Project Coordination Lead and the Studio and Operations Resource Manager Assesses and refines processes, driving for efficiencies and timeliness of work Monitors and maintains quality and service levels of team Serves as a dedicated coordinator for specialty channel or LOB, developing and maintaining effective working relationships and communication with relevant partners Collaborates with LOB/channel partners and Creative to define and intake projects, and ensure all team members acquire a thorough understanding of the project s components and the production requirements Leads, creates, and implements project management process to effectively plan and manage project timelines for specialized channels and types of projects Troubleshoots and provides solutions to Account teams for various process issues Assigns tasks and schedules deadlines for each step of a project through completion Negotiates timing with partners, troubleshoots scheduling issues, and implements changes Proactively and successfully reconciles competing project priorities against business/LOB priorities Works in project management system to support and ensure schedules are maintained Serves as final quality check before project materials proceed to review by agency and client partners Provides coaching and guidance to team members. Assesses skills, communicates well and delivers useful messages, helps determine when issues should be handled in person rather than via email Motivates and mentors Project Coordinators, helping them grow in their craft and broaden their experience Exceptional organizational skills, including the ability to build and manage schedules, ensuring timely delivery of all projects A diplomatic approach to communicating with team members regarding impending and/or jeopardized deadlines Experience in various marketing channels, including print, direct mail, web, and digital media Strong relationship-building skills, including collaboration and conflict resolution with team, peers, and partners Strong team management and leadership skills Ability to set strategic direction for team, manage resources, and deliver work in a timely manner. Required Qualifications: 7+ years of implementation experience, business process experience, or a combination of both 2+ years of leadership experience 5+ years of marketing experience Desired Qualifications: Experience leading a fast paced, demanding, and deadline driven production environment 3+ years of project management experience Ability to be proactive, innovative and creative in meeting customer and enterprise needs Strong attention to detail and accuracy skills Excellent verbal, written, and interpersonal communication skills Strong relationship development skills Ability to work effectively in a virtual team environment A BS/BA degree or higher.
