Job Responsibilities and Requirements: The candidate will collaborate with PMs and Directors to help coordinate all aspects of a project from its inception through turnover/warranty period. Tasks will include the documentation of the client s project scope, developing estimates, preparing a project schedule and tracking progress, working with architects, engineers and consultants. Responsibilities include but are not limited to the collection of initial business requirements and data, defining scope, preparing estimates, developing and tracking project schedules (using Microsoft Project), managing budgets, identifying and tracking issues through resolution, project communications, managing the bid process, preparing contracts, and managing construction administration through close out. Responsibilities: Assist/Manage projects from inception through turnover/warranty period Focus on the specific needs of the project, client, vendors, contractors, other stakeholders and as required customize approach to meet the specific needs of the project Assist PMs/Directors, stakeholders and design team to develop scope, schedule and budget Identify project risks and opportunities Assist the coordination of all weekly meetings, prepare agendas, meeting logistics and minutes that clearly define and assign action items and delivery dates Assist in the development and preparation of effective presentations and updates for management Communicate clearly (written and verbal) with project team and all stake holders Assist in the coordination of the vendor/contractor bidding and leveling process Assist in the coordination of all vendor/contractor/sub-contractor activities with property management and stakeholders Assist in the preparation of updating the project status reports, prepare contracts and change orders, process invoices and update project tracking reports Maintain accurate project files in accordance with Prudential standards Any other reasonable duties and responsibilities that may be assigned Post-secondary education in Architecture, Engineering, Interior Design or Project Management preferred Must have a minimum of 2-5 years or relevant work experience Ability to effectively and efficiently manage and drive activities in order to execute the project plan. Ability to enforce accountability within the project team consisting of: architects, engineers, contractors, internal support staff and administrative support staff. Desirable to have an understanding of the construction process, including but not limited to design, budgeting, scheduling etc Excellent analytical, problem solving, organizational and documentation skills Strong negotiation skills Effectively collaborate with clients, design professionals, contractors and landlords Ability to tailor communication style to meet the needs of the audience Ability to successfully manage conflict and resolve differences Self-motivated, ability to prioritize and manage multiple deliverables with limited oversight Experience in service industry a plus Working knowledge of Excel, Word, PowerPoint and MS Project; Visio and Access knowledge a plus Demonstrates aptitude for learning in a fast paced environment.
