Job Responsibilities and Requirements: Job Function: Financial and administrative support for the Regional Construction Department, and manages various department projects. Drive improvements/actions in processes, methods and tools. Keeps financial overview and construction documents in order and conducts internal project audits. Job Responsibilities including but not limited to: Assists with construction management including review of design documents, construction plans, specifications, legal documents, contract documents, technical reports, project schedules, and project budget/forecast/actual. Step 1 Preparation: Support construction team with conducting risk assessment for all projects Update and coordinate regional construction time plan schedules for current year and future regional overview. Step 2 Budget and Time Plan: Support construction budget setting together with PM and RCM by providing relevant historical data and benchmark figures Support IS with logistic setup in regards to material handling Set project budget in IPS together with PM and CM Step 3 Tender: Administer yearly tender and Pre-qualification process overview and documentation together with RCM Support PM with reviewing tender documents before sign-off, should always sign office memorandum. Step 4 Onsite Execution: Prepare and administrate relevant project documentation to support PM in daily work Perform audits and provide improvement suggestions on construction job book throughout projects. Support Interior Responsible with material handling Coordinate on-site responsible and on-site binder according to local practice Analyze and follow up project cost details and report back to RCM and CC on forecast Step 5 Close out: Assist in assembling closeout package information/material together with PMs Support PM in preparation of project audit Audit all completed projects Support RCM in conducting yearly consultant meeting, preparing KPI evaluation and comparison for all external and internal stakeholders. Financial Accountability: Manages and reports on the budget for individual project budgets, generally less than $1M. Solicits and manages Vendor proposals and invoicing. Minimum Candidate Qualifications: Retail Building or Store line experience Associate s Degree or equivalent work experience required Competencies: Demonstrated leadership, communication and negotiation skills Excellent written communication and typing skills Able to manage projects simultaneously and excellent prioritization skills Proficiency in Microsoft applications including Word, Excel, Outlook and Project (a plus) Must take initiative in problem solving Must be proactive in taking action that will avoid problems Knowledge of construction practices, procedures, design, and materials. Financial and analytical knowledge, preparing related reports. Work independently in organizing and prioritize work; be able to communicate verbally and in writing clearly & concisely. Use Microsoft Office Word, Excel and Power point to develop professional reports, prepare and maintain complete, accurate, and concise reports and records. Flexible to work in an office environment and to travel to Project locations as required Flexible to work hours Excellent customer service and interpersonal skills Strong time management, organizational and computer skills Must have a valid driver s license Willingness and ability to travel for extended periods of time (up to 30%).
